# Tolotrack (/en/businesses/integrations/tolotrack)

Tolotrack is Thril's partner for access control. The integration generates reservation-specific access codes for electronic lock systems and syncs them with your venue's calendar. You can also configure resource-specific settings under each resource's settings.

## Prerequisites [#prerequisites]

You need **Tolotrack hardware configured at your venue** and credentials (email and password) from your Tolotrack contact person or via [Thril support](mailto:support@thril.fi).

<Callout type="warn">
  If your Tolotrack system is connected to another booking system, contact
  Tolotrack or [Thril support](mailto:support@thril.fi) before enabling the
  integration.
</Callout>

## To enable [#to-enable]

1. Open **Settings → System → Integrations → Tolotrack**
2. Enter your **Email** and **Password**
3. Set the access times and fallback instructions (see below)
4. Set **Status** to **Active**
5. Select **Save changes**
6. Optionally test the connection under **Actions → Test connection**
7. Map each resource to its **Gate ID** under the resource settings

## Configuration options [#configuration-options]

* **Access before the reservation** and **Access after the reservation:** how many minutes before the reservation starts and after it ends the access code works
* **Maximum distance from the venue:** customers must be within this distance for the door-opening button to work. A weak phone signal can stop a customer from opening the door, and they contact you instead. Your staff can open a door wherever they are. Set the venue's address coordinates first.
* **Show PIN codes to consumers:** turn this off for venues that don't have a keypad reader on their doors. Customers then see no PIN code, but can still use the door-opening button if a resource has one.
* **Fallback instructions:** a message shown to customers if Thril detects an issue with Tolotrack (for example, *"If your access code doesn't work, please contact the venue staff."*). Enable **Always show fallback instructions** to display it to all customers regardless of Tolotrack's status. You can also set resource-specific fallback instructions under each resource's settings.
* **Gate ID (per resource):** the Tolotrack gate ID customers use to access each resource

## Syncing existing reservations [#syncing-existing-reservations]

After enabling the integration, select **Actions → Sync future reservations** to push upcoming reservations to Tolotrack. This is helpful when you first connect the integration so existing bookings get access codes. The action is available once the integration is active.

## Delete the integration [#delete-the-integration]

Select **Delete integration** to remove the Tolotrack settings from your venue. Thril also removes the Tolotrack settings of each resource and membership. You can set up the integration again later.

You can't delete the integration while upcoming reservations have an access code in Tolotrack or memberships give access through it, because Thril needs the Tolotrack credentials to remove those codes. Remove the integration from those memberships, and delete the integration once the reservations have ended. Set **Status** to **Inactive** in the meantime to stop new codes.

## Troubleshooting [#troubleshooting]

* Use **Actions → Test connection** to verify your Tolotrack credentials. Thril support may ask for this information when troubleshooting.
* Inactivating the integration stops **new** reservations from syncing to Tolotrack. Reservations already synced are not affected and must be cleaned up manually within Tolotrack.
* For help configuring your Tolotrack hardware or software outside of Thril, contact your Tolotrack contact person. For help with the integration in Thril, contact [Thril support](mailto:support@thril.fi).
