# Payments and invoices (/en/businesses/payments-and-invoices)

Payments and invoices are managed on two separate pages in the sidebar: **Payments** and **Invoices**.

***

## Payments [#payments]

The Payments page lists all customer payment transactions for your venue.

### Filtering [#filtering]

Use the filter panel to narrow results by:

* **Date range:** when the payment was made
* **Status:** e.g. succeeded, refunded, pending
* **Payment source:** e.g. online card, online bank transfer, invoice, employee benefit provider
* **Payment integration:** filter by connected payment provider
* **Customer:** search for a specific customer

### Exporting payments [#exporting-payments]

Click **Export payments** to download the current filtered view as a CSV file.

With Netvisor connected, the payments table has a **Ledger account** column. The CSV has a `ledger_account` column when Netvisor is connected or when an exported payment has an account, as after Netvisor was disconnected. Both columns show the account each item was sold under, as it was at the time of sale. A payment for items on different accounts lists them all, separated by commas. An item with no account of its own adds nothing to the list.

### VAT report [#vat-report]

Click **Generate VAT report** to open the report dialog. Select:

* **Date range:** the period to cover
* **Report scope:** generate for the current venue only, or for all venues in your company
* **Email** *(optional)*: override the address the report is sent to; defaults to your company's configured email

The report is queued and delivered by email. The PDF and its email are in the language you use the portal in, with dates and amounts written the way that language writes them.

The report has three tables:

* **Payments** lists online payments, credits, Thril tokens and POS payments by card, cash, credits and custom payment methods, by VAT rate. Each row has the payments and the refunds including VAT and their VAT, then the net result excluding VAT, its VAT and including VAT. Sales at 0 % VAT are listed too. Gift credits, session cards and the bonus share of gift cards carry no VAT, so they are not in these amounts. A payment you complete as **Payment waived** was not collected, so it has no VAT.
* **Invoices** lists the VAT of every invoice and credit note by invoicing date, whether you created it on the **Invoices** page, from a reservation or membership, or in POS. It is split by invoicing system (Thril, Netvisor or Amili), and shows the VAT of invoices, credit notes and cancellations, then the net invoiced amount excluding VAT, its VAT and including VAT.
* **Total VAT** adds the two tables together, with one row for each VAT rate: payments minus refunds, plus invoices minus credit notes and cancellations. The **Net VAT** column is the VAT of that rate for your VAT return, and the last row is the total.

A POS sale paid by invoice is only in the **Invoices** table, so its VAT is not counted twice.

An invoice keeps its VAT in the period of its invoicing date. Later events change the report like this:

* **Credit note:** gives VAT back in the period of the credit note's own invoicing date.
* **Cancelled in Amili,** also with **Cancel collection**: a cancelled invoice cannot be credited, so the VAT of its unpaid part comes back in the period of the cancellation, in the **Cancelled** column. The unpaid part is what the customer still owed after the payments made before the cancellation and after the credit notes of the invoice. The cancellation stays in its period, also if the invoice status in Amili changes later.
* **Deleted invoice:** leaves every report, also reports for earlier periods.

Unsent invoices are included, and **Total VAT** shows how much of the VAT is on them. You can still delete an unsent invoice or change its date, so a report you generate again can show different amounts.

### Payment error codes [#payment-error-codes]

When a customer's payment fails in the Thril app or on the Thril website, the error message ends with a code such as `ERR_12814`. Read the message first. When the server refused the payment, the text before the code is the server's own reason.

The code is built like this:

* `ERR_1` is the mobile app, and the next digit is the platform: `1` iOS, `2` Android. `ERR_20` is the website.
* The next digit is the payment method: `1` card, `2` Apple Pay or Google Pay, `3` Klarna, `4` MobilePay, `5` bank payment, `6` Epassi, `7` Wolt Benefits, `8` no card needed, `9` Stebby, `X` not chosen yet.
* The last two digits tell Thril where in the payment flow it failed. The app and the website have their own lists.

For example, `ERR_12814` comes from the Android app. The payment needed no card, because credits covered it or it was free, and the server refused to start or confirm it.

To get help, send [Thril support](mailto:support@thril.fi) the code, the time of the attempt and the customer.

## Invoices [#invoices]

The Invoices page lists all invoices across your company, with their current status.

> When Netvisor is connected, a **Source** column in the table shows whether each invoice is managed in Thril or Netvisor, indicated by the respective logo.

### Creating an invoice [#creating-an-invoice]

Click **Create new invoice** to open the invoice drawer. Fill in:

* **Customer to invoice:** search for a registered customer or a company customer.
* **Invoicing date:** the date shown on the invoice.
* **Days until due:** choose 7, 14, or 30 days.
* **Line items:** add one or more rows with a description, quantity, unit price, and VAT rate. At least one line item is required.
To sell a shop product on the invoice, click the shop icon (**Add shop product**) and search for it. The line is filled in with the product's name, price and VAT rate. See [Shop products on an invoice](/businesses/integrations/netvisor#shop-products-on-an-invoice) for what this means on a Netvisor invoice.
* **Invoice message** *(optional)*: a custom message included in the invoice sent to the customer.

Click **Create invoice** to save.

> Your company must have bank details configured before invoices can be sent or downloaded. Add them under **Settings → Invoicing**.

### Reservations on an invoice [#reservations-on-an-invoice]

A line item created from a reservation stays linked to it. Click the line item description to open the reservation.

An invoice that has line items for reservations of a recurring reservation series is also listed on the **Invoices** tab of that series. See [Invoicing a series](/businesses/recurring-reservations#invoicing-a-series).

### Invoice actions [#invoice-actions]

Click any invoice to open it, then use the **Actions** menu to:

* **Edit:** modify an unsent invoice
* **Delete:** remove a draft invoice permanently
* **Send invoice:** deliver the invoice to the customer by email
* **Download PDF:** save a copy locally
* **Update status:** manually set the invoice status
* **Mark as paid:** record a payment against the invoice
* **Create credit note:** issue a credit note against the invoice
* **Change invoicing system:** move an unsent invoice between Thril, Netvisor and Amili without retyping it. See [Moving an invoice to another invoicing system](/businesses/integrations/netvisor#moving-an-invoice-to-another-invoicing-system)
* **Send to Netvisor**, **Sync status**, **Create payment**, **Edit**, **Match credit note in Netvisor**, and **Delete from Netvisor** — Netvisor actions under the **Netvisor** section (availability depends on invoice status; see [Netvisor](/businesses/integrations/netvisor#sending-invoices-to-netvisor))
* **Audit log:** view a timestamped history of all actions on the invoice, including status changes, payments, and Netvisor syncs

### Bulk actions [#bulk-actions]

To act on multiple invoices at once, check the boxes on the left side of each row, then open the selection menu at the top of the table:

* **Mark as paid:** records a payment on all selected invoices. Only internal invoices with an open balance are eligible; others are skipped.
* **Send to Netvisor:** sends all eligible invoices to Netvisor in one batch. Invoices already sent to Netvisor are automatically skipped. *(Requires an active Netvisor integration.)*

A results summary shows how many succeeded. Any failures are listed with the reason so you can fix and retry them individually.

### Filtering [#filtering-1]

Use the filter panel to narrow results by customer, invoice status, invoice date range, sent date range, transaction date range, open-before date, whether the invoice is or has a credit note, and **invoicing system** (Internal or Netvisor; only shown when Netvisor is connected).

### Exporting [#exporting]

Click **Export data** to export invoices or invoice transactions to a file.

## Company customers [#company-customers]

To invoice a company rather than an individual, create a company customer first. Go to the **Customers** section, open the **Company customers** tab, and create an entry with the business name, Business ID, VAT ID, and e-invoicing details.

Company customers appear in the customer search when creating an invoice, and their business details are included in the generated invoice.
