Correcting invoices and credit notes

Unsent invoices can be edited, merged, deleted or moved to Netvisor or Amili, and sent invoices are credited in full or in part. What each change does to the reservations, membership periods and VAT behind them.

How you fix an invoice depends on whether the customer has it yet. Before an invoice is sent, you can change anything. After it is sent, the customer holds a document with a number and a reference, and you fix it with a credit note.

Fix a bill without starting over

One bill instead of four. A company got a separate invoice for each week's reservations. Select the four unsent invoices and Merge invoices into one for the month.

One booking off a monthly bill. A company's invoice includes a booking in a studio that then closed for repairs. Create credit note and keep only that booking's line. The company owes that much less.

A cancelled season. A club's invoice for a whole season goes out, and the club withdraws. A full credit note cancels the invoice, and the reservations on it are free to cancel or bill again.

An invoice for Amili to collect. Create the invoice in Thril. If you decide Amili should deliver and collect it, move it to Amili before you send it.

Before the invoice is sent

An Unsent invoice is a draft that only your staff have seen.

  • Edit changes anything on it: customer, lines, dates and message.
  • Merge invoices combines two or more unsent invoices of one venue and one invoicing system into a new one. You choose the customer, the invoicing date and the message. Everything the old invoices billed moves over, and their reservations and membership periods stay invoiced. Merging works on invoices without payments, credit notes excluded.
  • Change invoicing system moves the invoice between Thril, Netvisor and Amili without retyping it. It works on unsent invoices other than credit notes. Netvisor gives an invoice moved there its own number.
  • Delete removes it. See Deleting.

After the invoice is sent

A sent Thril invoice can still be edited, and the customer keeps the version they got. A credit note leaves a clear record of what changed.

A Netvisor invoice can be edited while Netvisor still holds it unsent, and an Amili invoice until it goes to Amili. After that, correct it in that system or with a credit note. See Invoices in Netvisor and Amili.

Credit notes

Create credit note makes a new invoice that takes back the original. It starts as a full copy with every amount negative and today's invoicing date. To credit only part of the invoice, edit its lines before you send it. A credit note shows in the invoice list as a negative invoice.

What the credit note does depends on how much it takes back:

Credit noteReservations on the invoiceMembership period on the invoice
FullBack to unpaid, free to bill or cancel againWritten off. The member owes nothing.
Part of the invoiceStay invoiced. The customer owes the rest.Stays unpaid until the rest is paid or credited.

Crediting the rest later counts as full.

The credit note's VAT goes into the VAT report in the period of the credit note's own invoicing date. See The VAT report.

Money goes back separately. Refund an online payment from the customer's payments, and pay back a bank transfer yourself.

For a POS sale paid by invoice, refund the sale under POS payments. The POS creates the credit note. See Refunds at the POS.

A credit note stays in the invoicing system of its original. In Netvisor and Amili, Thril can match it to the original there.

Deleting

Delete removes an unsent invoice for good. A sent invoice is credited instead.

Deleting an invoice frees what it billed. Its reservations go back to unpaid, and you can bill them again or leave them. A membership period it billed is written off. An invoice deleted from Netvisor or Amili can be deleted in Thril too, which frees its reservations the same way. A status set by hand, such as Credit loss, keeps the reservations invoiced.

The audit log

The Audit log of an invoice lists every change to it: who created, edited, sent, reminded, credited or moved it, and every payment and status change.
