POS shifts and cash

A POS shift covers the till's working day, with a cash count at opening and closing, a record of cash put in or taken out, and a shift report and multi-day sales report for your books.

A shift is the working day of your till. Staff open it before the first sale and close it after the last one. The close gives you a report of everything the till took: sales, refunds, VAT and each payment method. With cash payments on, the shift is also where staff count the drawer and see whether the cash matches.

Shifts day to day

Daily cash-up. The morning staff open the shift with the float in the drawer. The evening staff close it, count the drawer and take the takings to the bank.

A card-only till. With Cash payments off under Settings → POS → Payment methods, shifts open and close without a cash count, and the shift report is your daily sales summary.

Month-end figures for the accountant. Multi-day report in the Shift log adds up the POS sales of any date range, with totals by date.

Opening and closing a shift

A venue has one open shift at a time, shared by every till and every member of staff there. Two tills at the same venue sell on the same shift and count into the same cash register. For separate tills with separate cash, use separate venues.

Open shift asks for the cash in the drawer, filled in with the balance the last shift left. If the count differs, the difference goes on record as an Opening reconciliation, and the balance moves to what staff counted.

Close shift shows the shift's sales and the cash the drawer should hold. Staff count the drawer and enter what they find. A difference goes on record as a Closing reconciliation, and the cash register balance becomes the counted amount. The close then shows the cash to take to the bank.

Before the close, staff finish or cancel the open sales and let refunds in progress complete. The close lists any that remain.

The cash register

Settings → POS → Cash register shows the cash the POS expects in the drawer and every change to it: cash payments and refunds, differences found at opening and closing, and cash staff put in or take out with Edit balance.

Edit balance is for cash that moves outside a sale: change brought from the bank, money taken to the safe in the middle of the day. Give each adjustment a name and details, such as "Change from the bank". The next count then matches. Reconciliations and adjustments change the cash register balance only, never an earlier shift's sales or report.

Cash payments in euros round to the nearest 5 cents.

The shift report

Each closed shift is listed in the Shift log. The Shift report is a PDF of the shift's figures: sales and VAT, each payment method, invoices raised at the POS, and the cash count. Sales covered by credits, gift cards and session cards are shown apart from new money in the till.
