Managing class and event participants
Staff add walk-ins to classes and events, take cash, card or session card payments at the desk, give one person a different price, and refund or remove participants in Thril.
Staff add walk-ins, take payments, set custom prices and give refunds from the event's participant list. A walk-in for the 18:00 yoga class takes two steps: Add participants as Confirmed, then Mark as paid with Paid in cash, Paid by payment card or their session card.
Adding someone at the desk or by phone
Add participants adds one or more customers, and Create new customer in the same search adds someone who is not a customer yet. Each person gets one of three statuses:
- Confirmed gives them a place straight away, if the event has room.
- Queued puts them in the queue of a full event, without a queue fee.
- Invited sends them a notification, and they decide whether to join.
Staff can add anyone, also to a members-only or private event, regardless of Who can sign up, Require payment to confirm participation or the event's participation form. The participant limits still apply.
Confirm participation in a participant's menu gives an invited or queued customer a place, and Move to queue moves them to the queue.
Taking payment at the desk
Mark as paid records a payment for a participant who hasn't paid yet. The customer's session card can pay all of it when the card covers the event, and their credits can pay part or all of it. When something is left, you record the rest as Paid in cash, Paid by payment card or Paid with employee benefit. A session card still works after the event has started.
A participation marked paid no longer counts towards the block for unpaid participations.
A different price for one person
Edit participant details sets a custom Price for one participant who hasn't paid yet, such as a reduced price agreed at the desk. A price of 0 marks the participant paid. Allow participant to apply discounts decides whether a membership discount still comes off the custom price.
Refunding or removing a participant
Refund payment returns a participant's payment and keeps them on the event. The money goes back through Thril, to the original payment method, as credits, or by hand, for example in cash at the desk. Mark as unpaid, when offered, puts the price back on the customer, for example after they paid with the wrong card and want to pay another way.
Remove from event takes the participant off the event. If they paid, you choose how to refund them:
| Choice | What happens |
|---|---|
| Handle automatically via Thril | The money goes back to the original payment method or as credits, as the customer prefers. A card refund may carry a fee. |
| Handle manually | You refund them yourself, for example in cash or as a credits transfer. |
| Do not refund | The customer gets nothing back, for example after a late cancellation. |
A removed customer is notified, and the first person in the queue gets the place.
Marking the register and exporting the list
On an event that tracks attendance, Mark all as present marks everyone who has no mark yet. Then mark the few who didn't come as absent.
Download CSV exports the participants with their names, email addresses, phone numbers, prices and form answers, for an instructor or a club secretary.
Event registration and payments
Participant limits, quotas and queues for events, when customers pay, and whether they can leave, sell their spot or sign up with unpaid events behind them.
Event attendance
Staff mark who showed up to events and classes, customers check themselves in on location, and customers who keep missing events get a temporary ban.
