Amili

Send invoices to Amili for invoicing and debt collection on your behalf. Learn how to register, activate, and use the integration.

πŸ”— What the Integration Does

Amili (Visma Amili Edge) handles invoicing and debt collection on your behalf. Once your company is registered and activated as a mandator, you can send an invoice to Amili and it takes over delivering it to the customer, sending reminders, and β€” if it stays unpaid β€” starting collection.

Key things to know:

  • Invoices are sent manually, one at a time from the invoice detail view or as a batch from the Invoices page. A membership can also invoice its unpaid periods automatically, once you turn that on
  • The integration is configured at the company level and applies across all your venues
  • Amili is available to companies registered in Finland that trade in euros
  • Once Amili holds an invoice, it owns delivery, reminders, and collection. You can no longer edit, resend, or delete that invoice in Thril, though you can still credit it while it is open. Amili's documents (the invoice itself, reminders, collection letters) can always be downloaded from Thril
  • Invoice status is synced automatically whenever you act on the invoice, and also twice daily in the background, so you rarely need to sync manually
  • A customer who has been sent an invoice through Amili is tagged as an Amili customer in Thril, and their contact details and address are kept in sync with Amili afterwards

βš™οΈ Registering with Amili

Finland only: Amili is available to companies registered in Finland that trade in euros. If your company is set up in another country or another currency, the Amili card does not appear under Integrations, and registration is refused.

  1. Navigate to Settings β†’ System β†’ Integrations β†’ Amili
  2. Choose a setup method:
    • New mandator β€” fill in the company's Contact person, Contact phone number, Contact email, Bank account IBAN, and whether the company is Taxable, then click Register with Amili. This registers your company as a mandator (toimeksiantaja) β€” Amili's client on whose behalf it invoices and collects payment
    • Existing mandator β€” if the company already has a mandator with Amili (for example reused from a testing environment), enter the Mandator UUID and Mandator API key and click Link mandator. No new mandator is registered; your contact details, bank account, and taxability are read back from Amili instead

Contact and bank details are locked in after registration. You cannot edit them from Thril afterwards β€” only the integration's enabled/disabled status can be changed. To correct them, contact Amili directly.

Business ID required: Registering a new mandator uses your company's Business ID (Y-tunnus) and address as they're set in Thril β€” there's no separate field for them in the form, so make sure they're filled in under company settings first. If a mandator with that Business ID already exists in Amili, registration fails; contact Amili support if you believe that's a mistake.

Activation

After registering, Amili requires an activation / strong-identification step before it will accept invoices. When this is pending, Thril shows an Activation required banner on the integration settings page with a Complete activation link β€” follow it to finish the step with Amili.

Mandator status

The integration settings page shows the current mandator status as reported by Amili:

Thril polls this status from Amili automatically twice daily in the background. If you've just completed KYC or activation with Amili and don't want to wait for the next scheduled check, click Check status now to refresh it immediately.


πŸš€ Sending an Invoice to Amili

  1. Open an invoice from the Invoices page
  2. From the Actions menu, choose Send to Amili
  3. The invoice is handed to Amili, which delivers it to the customer directly

Sending is only available while the Amili integration is active. Once an invoice has been sent to Amili, it can no longer be edited, resent, or deleted from Thril. Amili owns it from that point on. Crediting is the one exception, covered under Crediting an invoice at Amili.

Billing address required: The invoice customer must have a full postal address on file β€” street, city, and postal code β€” for both individual (Thril app user) and company customers. If it's missing, the send fails with an error; add the address to the customer's profile before retrying.

Sending multiple invoices at once

To send a batch of invoices to Amili in one go:

  1. Go to the Invoices page
  2. Check the boxes next to the invoices you want to send
  3. Open the selection menu at the top of the table and choose Send to Amili

Only invoices already on the Amili invoicing system that haven't been sent yet are eligible; invoices that don't belong to Amili or are already sent are skipped. A summary shows how many succeeded and lists any failures with the reason.

Choosing Amili when creating an invoice

When creating an invoice directly from a reservation (for example via the Reservations page), you can choose whether the invoice should be a Thril internal invoice or go to Amili. An Invoicing system selector appears in the create-invoice form once your Amili integration is active β€” alongside Netvisor if that's connected too.

Moving an invoice to or from Amili

An invoice raised on the wrong system does not have to be deleted and retyped. Open it and choose Actions β†’ Change invoicing system, then pick the new one.

The action is offered only while nobody outside Thril has seen the invoice: it has to be unsent, it must not have gone to an external system already, and it must not be a credit note. An invoice moved to Amili keeps its Thril invoice number, and Amili takes the reference number from the invoice Thril sends. Crediting an invoice at Amili

An invoice already with Amili can still be credited, which is the one Thril action that survives the send. Create credit note stays in the Actions menu while the assignment is open and the invoice is not itself a credit note.

The credit note is a new invoice in Thril and goes to Amili the same way the original did. Once both are at Amili, use Match credit note in Amili to link the credit note to the invoice it credits, so Amili settles the two against each other. Matching is offered while the original invoice is open.

Managing an invoice already at Amili

Once an invoice has been sent, the Amili section of the invoice's Actions menu offers:

  • Sync Amili status: manually refresh the invoice's status from Amili
  • Download Amili documents: view and download the documents Amili has for this invoice β€” the invoice it delivered plus any reminders or collection letters, for as long as the assignment exists (including cancelled and paid ones)
  • Create payment in Amili: record a payment against the invoice, while it's open and has a balance remaining
  • Move due date: push the due date to a later date than the current one β€” Amili rejects earlier dates. The invoice itself is not resent; you can add a comment that's stored with the change in Amili. Offered only while the invoice still has a balance remaining
  • Collection prohibition: put collection measures for this invoice on hold in Amili until a date you choose, with an optional reason. It applies to this invoice only, not to the customer's other invoices. Once set, the same action lets you lift the prohibition early
  • Cancel collection: permanently close the assignment in Amili. Nothing further happens to it afterwards and it cannot be reopened β€” what's already happened (delivery, reminders, collection steps) stands as it is. The invoice itself stays in Thril. Cancelling requires a reason (unjustified/incorrect invoicing, failed delivery, or other) and a written explanation, both sent to Amili. Offered only while the invoice still has a balance remaining

These actions disappear once the assignment reaches a closed state in Amili β€” cancelled, deleted, or paid in full β€” since there's nothing left to act on. Collection prohibition stays available even when suspended, since that's exactly the state a prohibition is meant to lift.

Invoice statuses

An invoice sent to Amili shows one of these statuses, synced from Amili: unsent, open, overdue, reminded, in collection, paid, credit loss, deleted, cancelled, or suspended.


πŸ” Invoicing Unpaid Membership Periods

A recurring membership can hand its unpaid periods to Amili instead of leaving them uncollected. This is off by default and turned on per membership.

  1. Open the membership under Products β†’ Memberships and edit it
  2. Turn on Invoice unpaid periods
  3. Save the membership

When a period the customer has still not paid in the app is 7 days past due, Thril raises an invoice for it and sends it to Amili, with 14 days to pay. From there it follows the normal Amili path. If it stays unpaid, it can proceed to reminders and debt collection. The customer gets an email when the period is invoiced.

Tell the customer first. Turn this on only if the membership terms say that an unpaid period is invoiced and may go to debt collection. The switch in Thril says the same thing.

The switch appears only on a membership the customer is committed to: a recurring-payment membership with either a fixed number of periods or a contract notice period. An open-ended membership the customer can walk away from leaves no receivable to invoice, so the option is not offered. The Amili integration also has to be active.

Because the invoice has to reach someone, a customer buying one of these memberships needs a complete billing address before the first charge goes through. For a child's membership, the guardian who pays is the one Amili invoices.


🏒 Amili Customers

When an invoice is sent to Amili for a customer, that customer is automatically tagged as an Amili customer in Thril β€” shown as a badge on their customer profile. You cannot set or remove this tag manually; it reflects whether the customer has an active debtor record with Amili.

What gets synced, and when: Once a customer is an Amili customer, editing their email, phone number, or billing/street address (street, postal code, city, country) in Thril automatically pushes that change to their debtor record in Amili β€” for both individual (Thril app user) and company customers. Editing their name does not update Amili, since Amili has no endpoint to change a debtor's name once registered. If the address on file is incomplete at the time of the update, the sync is skipped until it's filled in.
