Services and service bookings
Customers book personal training, private pilates and tennis lessons, massage and other one-to-one services with a person and a time, each with its own durations, prices and resources.
A service is time a customer books with a person: a personal training session, a private reformer session, a tennis lesson, a massage, a club fitting. The customer picks the service, a length, an employee or Anyone, and a free time. Thril finds the time from the employees' working hours and holds a resource too when the service needs one, such as a court for a lesson. For a group with an instructor, use a class or a course.
Personal training, private sessions and treatments
- Personal training at a gym. One service with 30- and 60-minute durations and every trainer as an employee. Required resources is 0, because the trainer's time is what runs out. Customers who don't mind who they get pick Anyone.
- Private reformer sessions at a pilates studio. A 55-minute service that requires one resource, with your two reformers as Allowed resources. A ten-class card that covers service bookings pays for the sessions.
- Private tennis lessons. A service that requires one resource, with the courts it may use as Allowed resources. A booking holds the coach and a court for the hour.
- A physiotherapist from another company. The physio's company offers the service, and your venue grants it Host services. The service shows on your venue page and its bookings use your rooms. The bookings and the money belong to the physio's company.
- A massage paid with a sports and culture benefit. With Payable with an employee benefit on, customers pay with the benefit providers you have connected.
Employees, durations and resources
- Employees are the people who give the service. Customers see the times when one of them is free.
- Durations are the lengths customers choose from, each with its own price.
- Required resources is how many resources one booking holds, and Allowed resources lists the ones it may take. With more than one allowed resource, Priority order decides which a booking takes first.
A service sets its own Cancellation deadline, Lead time and Reservation window. An employee can have a stricter deadline or a longer lead time, and the stricter one counts. A new deadline also applies to bookings already made. Bookings start on the hour only keeps every booking on the full hour.
Booking instructions reach the customer after they book and in the confirmation email: "Arrive 5 minutes early", "Bring your own clubs".
Keep a new service inactive until its durations and employees are in place. Customers see it once you activate it. Deactivating or deleting a service leaves the bookings already made. Cancel them if the service won't run.
Prices and time-based pricing
Each duration has a default price, the same for every employee who gives the service. For a senior coach who costs more, make a separate service.
Under Time-based pricing & availability, rules change the price or close a duration depending on when a booking starts. Weekly rules repeat on chosen days and times, such as cheaper weekday mornings. Season & date overrides apply for a period, such as a summer season or a holiday week. In each rule, a duration keeps its Default price, gets a Custom price or is Not offered, and Close the service stops all bookings while the rule applies.
A date override beats a weekly rule, and a weekly rule beats the default price. When two date overrides overlap, the shorter one wins. The start time sets the price for the whole booking.
Staff can book times that are not offered to customers. New prices apply to new bookings, and a booked time keeps its price.
Members get their membership's service discount, and customers can enter a promo code at checkout. A session card that covers service bookings can pay for one.
Services at several venues and at partner venues
In a company with several venues, Available at sells one service at each venue you pick. Durations, prices, employees and booking rules are shared, and a change reaches every venue. Resources are chosen per venue, and a booking takes resources of the venue it was made at.
A venue of another company can let you run your services on its resources by granting your venue Host services. The service then shows on the partner's venue page and its bookings hold the partner's resources. Your venue owns the booking, its price and its customer.
How customers book, pay and cancel
Customers book from the Services tab of your venue page, on the web and in the app. They pay when they book, and the booking is confirmed once payment goes through.
Each booking gets its own chat between the customer and your venue, following your chat settings. A booking that holds a resource also gets that resource's integrations, such as a door code or lights.
Before the cancellation deadline, customers can cancel and choose their refund: credits, or back to the original payment method where the payment allows it. After the deadline, only staff can cancel.
Booking, rescheduling and charging for a customer
New service booking books for a customer, either a Single booking or a Recurring booking on chosen weekdays and times between two dates. Before you confirm a series, the preview flags the times where the employee or a resource is busy. A booking takes resources in priority order, unless you choose them yourself or pick No resources.
On an upcoming booking you can:
- Reschedule it to another time or resource, at the same price, or drag it in the calendar.
- Take payment: Mark as paid, pay with the customer's session card, Create invoice or Move to POS to charge it at the POS. A different price in Mark as paid replaces any discount and marks the booking Custom price.
- Cancel booking, choosing the refund and whether the customer gets a cancellation message. For a no-show, cancel with Do not refund to take the booking off the calendar.
