Managing customers' session cards

Staff can update session cards customers already own, void or add uses, change one customer's card and validity, and grant a card by hand.

Staff manage sold cards from the session card's Purchases tab and the customer's Session cards tab.

Editing a card customers already own

Customers' cards keep the name, description, quota type, maximum sessions and validity they were bought with. Editing the session card changes what the next buyers get. A change to the restrictions reaches cards already sold. See Changes reach cards already sold.

To bring your edits to cards that are active or not yet started, open the session card and choose More actions → Update existing purchases, then tick the changes to copy.

  • Name and description are copied as they are.
  • Quota type keeps what was used. Three used sessions become three used hours.
  • Max sessions raises the limit on cards below the new maximum. No usage limit removes the limit from every card.
  • Validity period or Validity in days takes the session card's current setting, counted from the original purchase or first use.

Tell customers yourself when a change affects them.

Tracking and correcting usage

On the customer's Session cards tab, the card's Usages show what each use paid for. A refund returns the use to the card.

  • Void usage returns a use, for example for a class the customer missed because of the venue.
  • Reactivate usage deducts a voided use again.
  • Create usage deducts sessions or hours for a visit that was not booked in Thril.

Staff can also pay an unpaid registration with the customer's card afterwards. See Taking payment at the desk.

Changing one customer's card

Editing a customer's card changes only that card: its usage limit, Valid from and Active until. On a card whose validity starts on first use, clearing Valid from restarts the validity on the next use.

Revoke session card takes the card away from the customer.

Granting a session card by hand

Grant session card on the customer's Session cards tab gives the customer a card without a purchase. It takes the session card's usage limit and expiry, or ones you set. The card is ready to use straight away.

Grant a card when the gift or compensation should pay only for what the card covers. Credits pay for almost everything at the venue.
