Guest spots
Customers book spots for friends next to their own in an event or class and pay for every spot in one checkout. Guests need no Thril account.
With guest spots, one customer books a whole group into a padel social, a yoga class or a darts night and pays for every spot at once. The friends don't need a Thril account. You see each guest by first name on the participant list, next to the customer who booked them.
Turning guest spots on
Turn on Allow guest spots under Settings → Events and classes and set Spots per booking. The number includes the customer's own spot: 3 lets a customer bring 2 guests.
Each event, event series and template chooses under Guest spots whether it follows the venue default, allows guests with its own number of spots, or doesn't allow them. Change events sets it on many events at once.
Course classes, tournaments, members-only events and private events take one spot per customer.
Booking spots for guests
Every guest needs a first name. When the event or its quota has a participation form, the customer answers it for each guest.
Guest spots count towards the event's limits and take the quota of the customer's own spot. Guests don't queue. A customer brings guests only into free spots. The customer can add guests later from the event page.
Prices, memberships and session cards
A guest pays the event's list price, without the customer's member price. A membership's event restrictions count the customer's own spot only.
A session card pays for guests too, one use per spot. A promo code takes one use per spot, the customer's own first, and the spots past its uses pay full price.
Guest spots are paid online in the customer's checkout, or staff mark them paid on the participant list. They can't be paid at the POS.
What the customer answers for
The customer who books guests is responsible for them:
- They pay for their guests' spots and get every email and notification about them.
- Each unpaid guest spot counts towards the block for unpaid participations, one per spot.
- Each guest who doesn't show up counts towards the customer's ban for absences, one per spot.
- A ban that cancels the customer's bookings cancels their guests' spots too.
The customer can cancel each guest spot under your cancellation policy. When the customer cancels their own spot, the guests keep theirs. The customer still gets the updates about the guests, stays in the event chat and opens the door for them. When staff remove the customer from the event, the guests' spots stay too.
Checking guests in
The customer checks their guests in from their own phone, the same way they check themselves in. Staff can change any attendance mark. Opening the door with Thrilock marks only the customer present.
On the participant list, each guest shows as Guest of the customer, and staff rename, check in, mark paid, refund or remove a guest like any participant. Read more in Managing participants.
Guests in lists and statistics
| Where | Who counts |
|---|---|
| Customer lists and customer counts in Statistics | The customer who booked the spots, also when they didn't attend |
| Attendee statistics, customer ratings and a player's own activity history | Only the person in the spot |
| Spots left and how busy your venue shows | Every spot, guests included |
A workflow that starts from a list on event participation can reach a customer who brought guests but didn't come themselves.
Managing class and event participants
Staff add walk-ins to classes and events, take cash, card or session card payments at the desk, give one person a different price, and refund or remove participants in Thril.
Event attendance
Staff mark who showed up to events and classes, customers check themselves in on location, and customers who keep missing events get a temporary ban.
