Booking rules

Booking rules set how far ahead customers can book, how many bookings they can hold, when they can cancel or resell a booking, and who can join and share the payment.

Booking rules apply to customers booking resources in the Thril app and on the web, and each venue sets its own. Classes and events have their own registration rules, a course chooses the refund when a participant leaves, and services set their own cancellation deadline.

Keep prime time fair and cancellations in check

  • Fair access to prime time. A 14-day Reservation window and at most 3 future bookings per customer keep a few regulars from taking every evening. Members can get a longer window with a membership benefit or a higher limit with a reservation restriction.
  • Strict cancellations without empty time. A 24-hour Reservation cancellation deadline. After it, customers put the booking up for sale, and someone else can take the time.
  • Season slots that stay booked. With Disable cancellation of recurring reservations, a club that can't use its weekly slot puts that week up for sale.
  • Walk-up booking on the web. With Allow anonymous reservations, a first-time customer books without signing in.

Who can book and how far ahead

  • Enable resource reservations turns customer booking on or off for the whole venue. Staff bookings and recurring reservations for sale in your shop work either way.
  • Allow anonymous reservations lets customers book on the Thril web without signing in. They enter their contact and billing details at checkout. The app always uses a signed-in customer.
  • Default booking view in the Thril app shows your free times as a list or as a calendar of resources.
  • Reservation window is how many days ahead customers can book.
  • Max simultaneous future reservations per user caps how many upcoming bookings one customer can hold. Bookings the customer made and open games they host count. Leave it empty for no cap.
  • Reservation instructions go in the confirmation email and stay in the app for confirmed participants. Door codes, parking and house rules fit here. Each resource can have its own instructions too.

A membership with a reservation restriction can replace the cap for its members. A venue cap of 3 with a membership allowing 5 gives members 5 and everyone else 3. Read more in Reservation and event restrictions.

A shorter window or a lower cap applies to new bookings, and customers keep the ones they hold.

Cancellations and resale

Reservation cancellation deadline is how close to the start customers can still cancel. Each resource can have its own deadline or turn customer cancellation off. Read more in Resources. A new deadline applies to every upcoming booking from the moment you save.

Before the deadline, a customer who cancels gets their payment back. After it, the customer can put the booking up for sale, and staff can still cancel and choose how to refund. Managing reservations covers what happens when a booking sells and how the money comes back.

Disable cancellation of recurring reservations keeps customers from cancelling reservations that are part of a series. They can put them up for sale, and staff can cancel them from the dashboard.

Participants and payments

  • Allow inviting other users to join a reservation lets the booker invite friends as non-paying participants.
  • Allow sharing reservation payments with other users lets the booker split the price so each player pays their own share in the app.
  • Payment disclaimer shows on the checkout page before the customer pays, for terms customers must see first.

Staff can add participants and set up a shared payment on any reservation, whatever these switches say. On a resource priced per participant, every player pays their own price.
