Cut no-shows
Payment up front, a cancellation deadline, reminders, queues and bans for repeat no-shows keep booked time and class spots in use, and statistics show the no-show rate.
A no-show costs you twice. The spot stands empty, and the person in the queue who would have come never got it.
Thril tracks attendance for classes and events. For courts and simulators, payment up front and a cancellation deadline do the work.
Email reminders for reservations use workflows, a paid add-on. To get them, press I'm interested on the Workflows page in the dashboard, and Thril's sales team contacts you.
Payment at booking
A customer who has paid comes, or sells their place. Reservations made in the app and on the web are paid when they are booked.
For events and classes, turn on Require payment to confirm participation in the venue's event settings. A sign-up is then confirmed once it is paid. The setting covers every event and class at the venue. See Event registration and payments.
Bookings staff make by phone wait in Unpaid activities at the POS, and the customer pays at the desk on arrival.
Cancellation deadlines
A customer who knows they can cancel tells you. One who can't often stays silent.
- Reservations. Reservation cancellation deadline sets how close to the start customers can cancel and get their money back. After it, they can put the booking up for sale, and someone else can take the time. See Booking rules.
- Events and classes. A customer can leave until registration closes. After that, they can sell their spot. Disable participant cancellation makes every sign-up binding, which suits a tournament more than a class.
Set the reservation deadline long enough that the freed time can still be sold, such as 24 hours. An empty slot alert rule for Last-minute cancellations offers time freed after that to customers in the app.
Reminders
- Events and classes. Set a Reminder notification on each event or class, and the participants get it before the start. Put it in the class template so every new class has one.
- Reservations. Customers with the Thril app get a push about an hour before a reservation starts. The Booking reminders workflow template emails the customer the day before and sends a push two hours before the start.
Queues
With queuing on, a customer who finds a class full joins the queue. When a spot opens, Thril moves the first person in and tells them. Require payment to join the queue makes people pay or use a session card to wait. The person moved in has then already paid and is likely to come.
Courses have their own queues, including Queuing for single classes for participants who missed a place in one class. See Course registration and participants.
Attendance and bans
Turn on Enable attendance tracking in the event settings, and on each existing event, and staff or coaches mark who came. Allow customers to mark their own attendance lets people check themselves in on arrival, and staff mark only the absent.
Then turn on Ban customers with repeated absences, with a firm rule such as three absences in 30 days for a 14-day ban. With Cancel the customer's bookings, a banned customer's upcoming spots go back to the queue. Staff can lift a ban early with Edit ban on the customer, for the regular who caught the flu. See Event attendance and Banning customers.
Limits on holding spots
A customer who books four classes "just in case" blocks four spots.
- Max simultaneous future reservations per user caps the reservations one customer can hold. See Booking rules.
- A membership's event restriction caps how many classes a member holds at once or per week. See Reservation and event restrictions.
- Block customers with unpaid participations holds back customers who leave events unpaid from booking and joining until they pay. See Blocking customers who don't pay.
No-show rate and freed places
Open Statistics and its Events section.
- Queue, no-shows and cancellations shows No-shows, the No-show rate, Participant cancellations and how many waited In the queue. A falling no-show rate with steady cancellations means people now leave in time.
- The Ranking by Series and events or Instructors shows where the no-shows come from.
- Fill rate shows whether the spots that opened were taken.
For reservations, read Utilisation rate by hour of day for your peak hours, for a month before and a month after a new cancellation deadline. A booking someone sold on is time that would otherwise have stood empty.
Win company customers
Weekly staff slots, team evenings, company classes and gift cards sell to businesses, with e-invoices for the company and sport benefits for its employees.
Win back customers
Dynamic customer lists find customers who stopped coming, and win-back workflows, emails, promo codes and empty slot alerts bring them back while consent gifts grow the share you can email.
