Launch group classes
Scheduled classes, series and templates, instructors, session cards and memberships, queues, payment rules and attendance run a weekly class timetable, and statistics show which classes fill.
A weekly timetable brings the same people back every week: yoga on Monday evenings, a strength class on Wednesday mornings, a padel clinic on Saturdays.
Classes with a fixed group and one fee for the whole term are a course, covered in Fill a term of courses.
Classes on their own tab
Turn on Separate classes from events in the venue settings. Customers then see your classes on their own Classes tab in the app, apart from one-off events. Create each class as a Scheduled class and give it a category such as "Yoga" or "Strength". Customers filter the timetable by category. See Classes, events and tournaments.
The weekly timetable
A Recurring event turns one class into a weekly series for a date range, every week or every few weeks. You can later edit every upcoming class at once, or extend the series to the next term. Tell participants about a moved class in the event chat.
Save each class type as a template when you create it. The next class of the same kind starts from it, with the price, limits and rules filled in.
Instructors
Instructors are your employees. Pick one or more on each class, and customers see them on the class page. Give an instructor the coach role and link their user to the employee, and they see the classes they teach and mark attendance. See Staff accounts and roles.
Drop-ins, cards and memberships
Most studios sell classes in three ways at once:
| Product | Fits | Set it up so |
|---|---|---|
| Single class price | Drop-ins and first-timers | The class has a price per participant |
| Session card | Regulars who come once or twice a week | A card that counts sessions, limited to your scheduled classes or a category |
| Membership | Regulars who want a monthly price | A discount for the membership in each class's Discounts, and Event restrictions on the membership |
Put the membership discount in the class template, and every new class has it. On the membership, Maximum registrations per period caps the classes per week or month, and Charge the standard price lets members sign up past the cap at the normal price. A 100% discount without the cap makes the membership unlimited.
Cancellation, queues and payment rules
Choose the rules that fit how full your classes get. See Event registration and payments.
- A cancellation deadline. A customer can leave until registration closes and gets the payment back. After that they can sell the spot. Close registration a few hours before the class, such as 12 hours.
- A queue. Turn on Queuing on each class, or in the class template, and people who wait get the spots of those who drop out. Require payment to join the queue in the venue settings makes them pay or use a session card to wait, and each class can override it.
- Paid spots. Require payment to confirm participation in the venue settings confirms a sign-up once it is paid. Use it for classes that sell out.
- Attendance. Turn on attendance tracking and Ban customers with repeated absences. See Event attendance and Cut no-shows.
The first visit
A welcome offer can gift a one-class session card to people who join your customer register. A promo code with an Event discount at a fixed price, such as a first class for €10, works for a campaign. Limit usage based on customer history keeps it for newcomers.
A free trial week is a one-session or unlimited session card valid for seven days with Allow only one purchase per customer, or a membership with a seven-day Trial period. See Pricing and trials.
Which classes fill and who comes back
Open Statistics and its Events section.
- Fill rate and participants per event show how full the classes are. Fill rate by weekday and time shows which slots to add and which to drop.
- Ranking lists classes by Series and events, Categories or Instructors.
- How often attendees come shows whether people come back. A timetable that works moves customers from Once to the higher bands, and Came 4+ times under Attendees rises.
- No-show rate tells you whether the absence ban is needed, or working.
- Gross sales by source incl. VAT lists each session card and membership by name. It shows which way customers prefer to pay.
Fill off-peak hours
Off-peak prices, empty slot alerts, open games, daytime series and a morning invitation sell weekday mornings and afternoons, and statistics show whether the courts filled.
Fill a term of courses
Courses with groups and a registration period, sign-up by guardians, participation forms, queues and an early offer to last term's families fill junior groups and adult courses before the term starts.
